How Conference Hotels Win More MICE RFPs

Conference hotels win more corporate MICE RFPs when they are listed where companies buy their events, keep their property profile complete and answer each request fast and exactly as asked. Corporate meetings and events are increasingly bought through procurement platforms, and a hotel that is part of that process gains RFPs in addition to those from its own sales activities.

This article explains how corporate RFPs reach hotels today, how many of them a MICE booking platform brings and the seven levers that decide how many RFPs your property receives and wins. Hotels that already work with the channel share what it changed for them.

Why do corporate MICE RFPs reach hotels differently today?

Corporate MICE RFPs increasingly reach hotels through procurement platforms, because larger companies buy meetings and events like other purchasing categories, with approved suppliers, purchasing terms and a defined approval path. Our guide to how companies buy MICE events explains this in detail.

The demand behind these processes is substantial. According to the Events Industry Council and Oxford Economics, direct spending on business events in Western Europe reached 328 billion US dollars in 2025.

Companies are building the structures to manage that spend. In Germany, the VDR business travel analysis found that 66 percent of companies want to actively advance event management by the end of 2026, and 74 percent of travel managers count event travel among their core tasks.

The table shows what is standard in corporate event procurement today and what it means for your hotel.

Standard in corporate procurement What it means for your hotel
Procurement guidelines
Planners book through their company shop, so that is where your property needs to be found
Purchasing terms in every RFP
The client’s terms come with the request and apply to your offer
Approval steps
Several people look at an offer before it is booked, so a clear and comparable offer helps
Framework agreements in the system
Contracted properties are shown to the people who book
Documented event spend
Every booking runs through one system and shows up in the company’s reporting

Personal relationships remain at the heart of hotel sales. Many RFPs now start in a system, and a listing makes sure your property is part of that selection as well.

How do MICE RFPs reach my hotel through a MICE booking platform?

MICE RFPs reach your hotel through MICE booking platforms, also called procurement platforms, on which each company searches, requests, compares and books hotels, venues and event services in its own company shop. Our article on how hotels choose the right MICE booking platform explains the different types of platform. The company shop reflects the company’s framework agreements, preferred suppliers, approval workflows and purchasing terms. MICE Portal introduced the first digital purchasing solution for event services on the European market in 2004.

The suppliers in those shops come from a shared supplier base. For the procurement platforms of MICE Portal and OneMICE, this is the MICE Partner Network. A planner searches the network from the company shop, sends the MICE RFP to the properties that fit and receives every offer in the same structure, which makes the offers comparable.

For a hotel this creates two routes of demand. Clients with a framework agreement find the property as a contracted partner in their shop. Planners from other companies can also find and request the property whenever it matches their search.

A platform of this kind works differently from an open marketplace. RFPs are sent from within company-specific shops, so every request comes from a corporate client with a concrete event and defined purchasing terms.

How many RFPs does a MICE booking platform bring my hotel?

A MICE booking platform brings your hotel RFPs for events that companies plan to hold, and a property that actively manages its presence there turns more of them into bookings. On the MICE Portal platform, 84 percent of the RFPs placed in 2025 were booked, and around a third of the offers hotels submitted led to a booking.

The MICE Partner Network connects suppliers with more than 6,000 active event planners and a booking volume of around 150 million euros a year. A basic listing is free, and commission applies only to bookings placed through the network.

Hotels that work with the channel describe it as an established part of their sales. “What began as an additional sales channel is now an established part of our marketing strategy,” says Michael Stober, managing director of Landgut Stober. “Through the portal we reach customers who would not have found us the traditional way.”

At the conference hotel LA VILLA am Starnberger See, portal RFPs account for around 25 percent of all requests. According to Head of Sales Lisa Oberndörfer, the team prepares an offer in three to five minutes and converts around 28 to 30 percent of its offers into bookings.

How many RFPs reach your property and how many you win depends largely on three things your team controls. Profile quality decides whether the property is found, response time decides whether the offer arrives while the decision is still open, and offer precision decides whether it can be compared with the others.

How do conference hotels win more MICE RFPs?

Conference hotels win more MICE RFPs through seven levers. The first three make the property visible, the next three decide whether an offer wins, and the last one adds reach once the basics are in place.

Seven levers for conference hotels to win more corporate MICE RFPs, shown as rising steps. Getting listed, completing the property profile and keeping data current help hotels be found. Replying within eight hours, answering exactly what the RFP asks and making framework agreements count help win the offer. Marketing products add reach.

Seven levers that help conference hotels receive and win more corporate MICE RFPs.

1. Get listed in the network

A basic listing in the MICE Partner Network is free and makes your property visible to planners in every connected company shop across Europe. Many properties are already in the database, for example because a planner requested them. In that case you request a login for the existing entry and complete it.

“For us, the biggest lever is clearly visibility,” says Jan von Schaper, Director of Commerce at DEKRA Congress Hotel Wart in the Black Forest, a congress centre for events with up to 2,000 participants. “As a standalone property, we have to make sure that we are found at all.”

2. Complete your property profile

Your data score decides how visible your property is in the network, and the more complete the profile, the better your placement. Aim for a data score of at least 50 percent within the first 14 days, since a complete profile is the basic requirement for your entry to stay active and be found.

Room sizes, capacities, seating layouts, conference technology and catering each work as a search criterion. Upload at least five photos in landscape format, photos for every room and a floor plan for every meeting room, because planners need both to decide. Sustainability certificates are worth adding as well. Certified properties get a green symbol in the search, and sustainability is a frequently used filter. The knowledge base shows how to present your property as a sustainable provider.

3. Keep contacts and data current

Current data brings RFPs that fit your property, and current email addresses make sure every RFP reaches the right person. Store separate addresses for accounting, room requests and event requests, and use a team inbox such as events@ as booking contact so no RFP gets lost during holidays. Update the profile whenever rooms, capacities or equipment change.

4. Reply within eight hours

Several properties usually answer the same RFP, and the planner compares the offers as they come in. Requests also arrive at shorter notice than they did a few years ago. “More and more requests come through the portals, some of them at very short notice,” says Olaf Backhaus of Designhotel + CongressCentrum Wienecke XI. in Hanover. “The faster the offers go out, the higher the chance of a booking.”

In the MICE Partner Network, replies within eight hours markedly raise your chance of being booked. Answering takes little effort, since RFPs arrive by email and you submit your offer through the button in that email, with no login needed.

5. Answer exactly what the RFP asks

An offer that follows the structure of the RFP can be compared directly with the others. Check dates, participant numbers, services and the option date the planner set, since your offer is valid until that date. Accept the client’s purchasing terms, which is required to receive bookings from that company, and price each service separately. Meeting room hire and technology are priced per person within the day delegate rate.

Anything the price fields do not cover goes into the comment field, for example a mixed price for several breakout rooms or different cancellation terms. These remarks become part of the contract if the client books. If you can only offer part of the rooms and the planner has enabled split booking, submit a partial offer. Questions go to the planner through the request itself, so all communication stays in one place. The knowledge base explains how to submit an offer and how to use the comment field step by step.

6. Make framework agreements count

Corporate clients store their framework agreements in their company shop, where contracted properties are shown to the people who book. A listing puts your existing agreements in front of the people who book, so the relationships you have built pay off in every booking. Bookings from clients that already have a framework agreement with your property carry no commission in the MICE Partner Network, because the business relationship existed before.

7. Add reach once the basics are in place

Once profile, response time and offers are in place, additional visibility can strengthen the results. MICE Moments let you share offers, side events or special features of your property directly with event planners. Marketing products such as Account Upgrades with analytics and improved placement, Bidaro, Advertising Banners and Showcase Options add reach, and partner management arranges them in a consultation. The order matters, because reach amplifies what is already there.

How do booking platforms and direct sales work together?

A booking platform adds a digital channel to your direct sales. It brings in MICE RFPs and speeds up the first offer, while the relationship with your clients stays with your team and gains new contacts to build on.

Existing clients stay yours. The planner’s contact details come with the request, so your team can talk to the client directly and build the relationship from there. Bookings under an existing framework agreement carry no commission, and your negotiated rates stay as they are, since the network earns only where it brokers a booking.

Many hotels use both routes side by side. “The first response is often digital and very fast, and the actual decision is then made in personal conversation,” says Lisa Oberndörfer of LA VILLA am Starnberger See. Jan von Schaper of DEKRA Congress Hotel Wart describes the same approach. “We deliberately use both routes in parallel, digital systems for reach and speed, and personal contacts for coordination.”

Hotel sales in two phases. In the digital phase, an RFP arrives from the company shop, the offer is prepared in minutes and compared on the same basis. In the personal phase, the hotel talks directly with the planner, agrees the details and builds a lasting client relationship.

How can a hotel sales team handle more MICE RFPs?

A hotel sales team can handle more MICE RFPs when offers no longer have to be built from scratch. In a 2025 survey by the German Hotel Association IHA among 336 hotels, 79.2 percent processed MICE requests manually, and 36 percent were not yet listed on any online MICE platform. For many properties in Germany, this leaves room to grow.

A structured RFP shortens this work. The request arrives with services, dates and purchasing terms already defined, and the offer is entered into fixed fields. LA VILLA am Starnberger See used to build its offers entirely by hand and now prepares a complete offer in a few minutes. The time a team gains goes into personal conversations with clients, where bookings are decided and relationships grow.

The commission is included in your offer price and can differ per company shop or booking channel. The commission that applies is shown in each RFP, so you know it before you submit an offer. The knowledge base explains the business model in detail.

Frequently asked questions

How do I get the green sustainability symbol for my hotel?

Upload your sustainability certificate under General, Classification and certificates in your profile. Certified properties get a green symbol in the search, and sustainability is a frequently used search filter.

Can I offer only part of the requested rooms?

Yes, if the planner has enabled split booking for the RFP, you can submit a partial offer. If split booking is not enabled, ask the planner to activate it.

How do I ask the planner a question about an RFP?

Use “Contact the planner” at the bottom of your offer. All communication then stays in the project, and changes to the request itself are made by the planner.

Is there training for my sales team?

Partner management offers onboarding webinars that give a structured introduction to all the basics. All supplier guides for login, profile and offers are in the MICE Partner Network knowledge base.

How do I get started?

Hotels and venues can join the MICE Partner Network in three ways. You can register yourself, a corporate client can invite you, or a planner can add your property to a specific RFP. If your property is already listed, request a login for the existing entry and complete your profile. Our guide to the MICE Partner Network explains each way step by step.

Partner management supports new and existing suppliers personally, with onboarding webinars and direct contacts for questions about the profile and offers. Registration is free and there is no contract period.
