What Is the MICE Partner Network? A Guide for Hotels

Written by Laura Wagner | 12/10/2026

The MICE Partner Network (MPN) is a European B2B network that connects hotels, venues, restaurants and MICE service providers with corporate buyers of meetings and events. Suppliers register once with a single profile, and corporate event planners search the network, send RFPs and book offers through the procurement platforms connected to it.

MICE Portal GmbH operates the network and has built its supplier base over more than 20 years. The base has existed for a long time. What is new is its name and a website of its own.

This guide explains what the network is, why it matters for hotels and venues, how an RFP runs from the first search to the contract, what a listing costs and how your property gets listed.

Why should I list my hotel in a MICE supplier network?

Listing your hotel in a MICE supplier network makes it visible to corporate buyers across Europe at the moment they search for a venue. Larger companies increasingly manage meetings and events centrally, with approved suppliers, purchasing terms and a defined decision path, as described in our guide to how companies buy MICE events. Their planners search for venues on procurement platforms and send their RFPs from there.

The demand behind these processes is substantial. According to the Events Industry Council and Oxford Economics, direct spending on business events in Western Europe reached 328 billion US dollars in 2025.

Without a network, every company is a separate contact for your sales team. Vinzenz von Brühl, CEO of MICE Portal, describes the first contact between a company and an unconnected supplier as classic agency work, which means establishing contact, onboarding the provider and requesting a quote. For a hotel, that process repeats with every new corporate client and in every market it wants to sell to.

A supplier network changes how planners find your property. A hotel that relies on its own marketing reaches the planners it contacts itself. A hotel in the network is present where corporate planners already search for venues, so they find it and send their RFPs to it directly. A listing in the MICE Partner Network replaces those individual contacts with one free profile.

There is no listing fee and no annual base fee. Your property becomes visible to more than 6,000 active event planners in every connected company shop across Europe, and RFPs arrive straight in your inbox without cold acquisition. Together, these planners book meetings and events worth around 150 million euros a year through the network.

Many hotels and venues still leave this channel unused. Germany shows the gap at country level. In a 2025 survey by the German Hotel Association IHA among 336 hotels, 36 percent were not listed on any online MICE platform. For 56.9 percent of the participating hotels, less than 10 percent of their MICE bookings came in through such portals.

How does the MICE Partner Network work?

The MICE Partner Network works as the shared supplier base behind the procurement platforms that corporate clients use to book meetings and events. Each company books through its own company shop, with its own framework agreements, preferred suppliers and approval workflows. When a planner searches for a venue in that shop, the results come from the MICE Partner Network. The network is the step in which your property is found.

MICE Portal serves corporate clients in Germany, Austria, Switzerland and international markets, and OneMICE serves the French market. Both draw on the same network, so one profile covers every connected channel. You can read more about the companies behind the network on our About Us page.

A few rules keep the process clear for both sides. The client's purchasing terms travel with every RFP, and the planner sets the request form, including the option date and short terms and conditions. Conditions that differ from the client's terms go into the comment field of your offer and become part of the contract if the client books. Offers are submitted with the commission for the respective booking channel already included.

Who sends RFPs through the MICE Partner Network?

RFPs in the MICE Partner Network come from corporate bookers who plan meetings and events for their company. Event managers are among them, and so are purchasers, assistants and other employees who organise a meeting, a training or an incentive and book it through their company shop.

The corporate clients come from a broad range of industries, among them insurance, pharmaceuticals, telecommunications, chemicals, energy and financial services, with companies such as Deutsche Telekom, Boehringer Ingelheim, Lanxess and Roche. MICE Portal alone serves more than 450 corporate clients across Europe.

Many requests cover a conference package (day delegate rate) with meeting room, catering and an overnight stay, since the typical corporate meeting runs over two days with one night. Arrival and a shared dinner on the first evening are followed by the meeting itself on the next day.

How does an RFP turn into a booking?

An RFP in the MICE Partner Network turns into a booking in six steps, from the planner finding your profile to a digital contract. Steps 1, 2, 3 and 6 take place in the network, steps 4 and 5 in the client's company shop.

The planner finds your profile and sends the RFP through the network. You receive a notification by email, and the link opens the request online. No login is needed to answer it. You check dates, participants, services and the option date, accept the client's purchasing terms and price each service separately. Meeting room hire and technology are priced per person within the day delegate rate. Questions go to the planner through the request itself, so all communication stays in one place. The knowledge base explains how to submit an offer and how to use the comment field step by step.

The planner then compares the offers in the company shop and books one of them. Once booked, the contract is concluded digitally in the network and you receive a confirmation. Payment follows quickly after that.

How an RFP from the MICE Partner Network turns into a booking for your hotel.

RFPs in the network belong to events that companies plan to hold. On the MICE Portal platform, 84 percent of the RFPs placed in 2025 were booked, and around a third of the offers hotels submitted led to a booking, as MICE Portal reported in March 2026. The first figure describes the demand. The second describes the competition at the offer stage, where several properties usually answer the same request.

Speed makes a difference here. In the MICE Partner Network, replies within eight hours markedly raise your chance of being booked.

How is the MICE Partner Network different from a venue finder?

The MICE Partner Network places your property inside the procurement processes of companies, while a venue finder brokers business on behalf of the property. Vinzenz von Brühl describes the difference in his series on MICE procurement. A venue finder is a brokerage platform whose client is the property. On a procurement platform the company is the customer, and the process starts with approvals, purchasing terms and cancellation policies. Read more in MICE Procurement Part 2 and on strategic MICE management. Our guide on how hotels choose the right MICE booking platform explains what to look for in each type.

For a hotel, both channels can run side by side. They differ in where the RFP comes from and what it contains. The table compares the two listings from the perspective of your property.

For your sales team this means an RFP from the network arrives with the company's requirements already defined, and your offer is compared with others on the same basis.

What does it cost to list my hotel in the MICE Partner Network?

Listing your hotel in the MICE Partner Network is free, and costs arise only when a booking is placed through the network. There is no listing fee and no annual base fee. The table shows which parts are free and where costs can arise.

The commission covers the use of the network, and you calculate your prices freely. It is included in your offer price and can differ per company shop or booking channel. Where your property has its own commission agreement with a channel, the agreed rate applies. The commission that applies is shown in each RFP, so you know it before you submit an offer. The knowledge base explains the business model in detail.

Do I pay commission on corporate clients I already have?

Bookings from corporate clients that already have a framework agreement with your property are free of commission. The network earns only where it brokers a booking, and in this case the business relationship existed before. Your existing corporate relationships stay on your terms, and handling them through the client's company shop adds no commission.

Can I pay to improve my hotel's placement?

Yes, suppliers can improve their placement or add analytics and advertising through optional marketing products, and every paid option is visible to all parties. Transparency is one of four principles the MICE Partner Network works by.

Neutrality means the network does not steer spend and does not act as an agency. The corporate client makes the booking decision. Fair financing means the network earns only when it brokers a booking, which is why bookings under existing framework agreements carry no commission. Inclusion means every professional supplier can join. Independent properties are listed on the same basis as chains, and registration is free for both.

The marketing products cover Account Upgrades, Bidaro, Advertising Banners and Showcase Options. Partner management arranges them in a consultation.

How do I get more RFPs through my property profile?

A complete and current property profile is the most direct way to receive more RFPs, because your data score decides how visible your property is in the network. The score runs from red to green. Aim for at least 50 percent in the first 14 days, since a complete profile is the basic requirement for your entry to stay active and be found.

Planners decide on the details your profile shows. Upload at least five photos in landscape format, photos for every room and a floor plan for every meeting room or event space, since planners need both photos and floor plans to decide. Separate email addresses for accounting, room requests and event requests make sure every RFP reaches the right person. A team inbox keeps requests from getting lost during holidays.

Sustainability certificates are worth uploading too. Certified properties get a green symbol in the search, and sustainability is a frequently used search filter. The knowledge base shows how to present your property as a sustainable provider. Our seven levers for more MICE RFPs show which details make the biggest difference.

The data score shows how complete your property profile is and where it can be improved.

Frequently asked questions

How do I register my hotel in the MICE Partner Network?

Hotels and venues can join the MICE Partner Network in three ways. The most direct way is to register yourself. Choose your supplier type on the registration page and accept the terms of use, and a free basic account is created. A welcome email then guides you through your profile with master data, photos, rooms, capacities and contact addresses.

Corporate clients can also bring their partner hotels into the network. They can invite them when they start working with a MICE procurement platform, and planners can add a specific property to an RFP. In both cases the property receives the request and can submit an offer. Only a complete profile makes it visible to every planner who searches, including those who do not know it yet.
